01Who I am

Tatiana Digital is a design studio run by Tatiana as a sole trader, based in the United Kingdom. I’m the data controller for the information described here: I decide how it’s used, and I’m responsible for looking after it.

02What I collect

When you ask about a project

• your name and email address
• what you need and, if you choose to share it, your budget
• your message, and anything you add from the price calculator

When you apply to work with me as a freelancer

• your name and email address
• your role and a link to your portfolio
• any file you attach, such as a CV or portfolio (PDF or Word)
• your message

When you fill in a project brief

• your name, business name, email and, if you share them, your phone number and current website
• your answers about your business, customers, goals, content and style
• any file you upload, such as a logo, brand guide or photos

When we email or talk

Whatever you choose to share with me about you, your business and your project.

I don’t ask for payment details or sensitive information, such as health or financial data. Please don’t include it in messages or attached files.

03Why I use it

Here’s what I use your information for, and the legal basis for each use under UK data protection law:

I won’t add you to a mailing list or send you marketing unless you separately agree to it, and you can change your mind at any time. I don’t make automated decisions or build profiles about you.

You don’t have to give me any information, but I do need at least an email address to reply to you.

04Who handles it

I don’t sell or rent your information. It’s only handled by the services I need to run the website and reply to you:

• Netlify, which hosts this website, receives the forms you send through it and counts visits (see Cookies and storage)
• my email provider, which delivers and stores our emails
• Google Fonts, which serves the fonts on this site. Your browser sends it your IP address when the page loads, as with any website that uses web fonts.

If the law requires it, I may have to share information with authorities such as HMRC.

Outside the UK

Some of these services are based outside the UK, for example in the United States. Where your information is handled abroad, it’s protected by safeguards recognised under UK law, such as UK adequacy regulations or approved contract clauses.

05How long I keep it

• Enquiries and briefs that don’t turn into a project: deleted within 12 months of your last message.
• Freelancer applications and attached files: deleted within 12 months, or sooner if you ask.
• Client projects: kept for as long as the project and any support last. Invoices and records needed for tax are kept for as long as UK law requires, currently around six years.

06Cookies and storage

This site doesn’t use tracking or advertising cookies, so there’s no cookie banner.

To see how many people visit and which pages they look at, I use Netlify Analytics. It works from the website’s server logs, not cookies. It doesn’t follow you across other sites or build a profile of you, and I only see totals, such as visits per page.

The only thing it remembers is whether you picked the light or dark theme. That choice is saved in your own browser (local storage), never leaves your device, and you can clear it at any time in your browser settings.

07Your rights

Under UK data protection law, you can ask me to:

• show you the information I hold about you and give you a copy
• correct anything that’s wrong or incomplete
• delete your information
• limit how I use it, or stop using it
• send your information to you or another service in a common format
• withdraw any consent you’ve given

Complaints

If you’re unhappy with how I’ve handled your information, please tell me first and I’ll do my best to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.

08Changes to this policy

If I change how I handle personal information, I’ll update this page and the date at the top.
